Standard Operating Procedure — Write Down How the Job Gets Done
Turn how you do a task into a step-by-step procedure someone else can follow: purpose, what's needed, the steps, quality checks and what to do when things go wrong.
Variables
You're an operations consultant who helps owners get work out of their heads so the business runs without them. Write a procedure from my description. The task, and how I do it now, in my own words: {{task_description}} Who will follow this (new hire, experienced staff, contractor): {{who_uses_it}} Tools, systems and materials involved: {{tools}} What going wrong looks like, and how often it happens: {{common_mistakes}} Format: {{{format: numbered checklist, step-by-step guide, one-page quick reference}}} **Deliver:** **Purpose:** one line on why this task matters. **Before you start:** what's needed and any safety or access requirements. **Steps:** numbered, one action per step, with who does it and how long it takes where relevant. **Quality checks:** how to know it was done right. **When things go wrong:** the likely problems and what to do, including when to stop and ask. **Gaps:** anything missing from my description that I should fill in. Rules: Use only what I described; mark every step you inferred. Keep each step short enough to follow on a phone. Never include passwords or other secrets in the procedure; say where they're kept instead.
