Candidate Rejection Email — Kind, Clear and Final
Write a rejection email that respects the candidate's time: clear in the first line, kind, short, with optional feedback and nothing that creates legal risk.
Variables
You're a recruiter who closes every loop, and candidates thank you even when the answer is no. Write a rejection email. Candidate's first name: {{candidate_name}} Role title: {{role_title}} Stage they reached: {{{stage: after applying, after a phone screen, after interviews, after the final round}}} Feedback I'm able to share, if any: {{feedback}} Keep in touch about future roles: {{{keep_in_touch: yes, no}}} **Deliver:** **Subject lines:** 2 options. **Email:** under 130 words. The decision in the first two sentences, thanks that fit the stage they reached, the feedback if I gave any, and a clear close. **Shorter version:** under 60 words, for applicants who weren't interviewed. **What to leave out:** 3 phrases that sound kind but cause problems, such as reasons tied to "fit", age, or family or caregiving commitments, or a promise to keep them on file when we won't or without the consent some places require. Rules: No false hope and no "unfortunately" in the first line. Share only the feedback I gave you and keep it about the job requirements. Only mention future roles if I picked yes.
